Job title:  Executive Assistant

Reporting into:  CEO

Type of contract: This is a temporary Maternity Leave cover role and the current EA is scheduled to return to work in June 2025. This contract role will cease at that time, however there is some possibility of a short extension.

Job location: The offices are based in Galway City Centre. This is a hybrid working role of 3 days on site and 2 days from home.

This new job opportunity is with a global IT company (approximately 3.5k employees worldwide) with their Irish office in Galway City Centre.

This role will suit a highly organised and experienced Executive Assistant with experience of providing comprehensive administrative support at a senior level.

Key Responsibilities:

  • Manage complex calendars, including scheduling meetings, appointments, and travel arrangements.
  • Process expense reports and invoices.
  • Provide general admin support, including managing email.
  • Work together with team members to ensure efficient workflow and meet deadlines.
  • Prepare and edit correspondence, reports, and presentations.
  • Organise domestic and international travel arrangements.
  • Work with Property Manager to address any office related issues or concerns.
  • Ordering IT equipment, stationery & office supplies as required.
  • Other ad-hoc duties as required.

 

Required Skills and Experience:

  • Proven experience as an Executive Assistant supporting senior-level executives.
  • Ability to keep sensitive information confidential is critical.
  • Strong organisational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Ability to prioritise tasks, handle confidential information, and work independently.
  • A proactive and solutions-oriented approach to problem-solving.
